Counselors' College Fair (CCF)

The Counselors' College Fair (CCF) is an opportunity for counselors attending the National Conference to meet with admission team members in a college fair setup. The CCF will be held Friday, September 23.

Attendees do not need to register to attend the CCF.

Exhibiting Colleges/Universities

Each CCF exhibitor will setup prior to the start of the session, no earlier than 2 p.m.

Eligibility
NACAC invites any Title IV eligible and accredited college, university, other postsecondary institution, or program offering undergraduate curricular study leading to a degree or diploma to participate in the CCF. International universities that offer academic degrees or diplomas that are sanctioned by the country's Ministry of Higher Education or by US accrediting associations are also eligible to participate.

Exhibitor Policies and Information

Space Assignments and Staffing

  • Exhibitors will be taken until the fair sells out, and reservations will be confirmed on a first-come, first-served basis.
  • Only one registration and one table per institution are permitted. In 2022, NACAC will assign table space in reverse alphabetical order according to the name listed as "booth sign" on the registration form. Onsite CCF registrations will be assigned a table, space permitting, at the end of the alphabetical order of schools. Signs for onsite reigstrants will be hand written. Note the order alternates each year between alphabetical and reverse alphabetical order.
  • A maximum of three people may staff each booth, and the booth personnel must be registered attendees of the National Conference.

Exhibitor Setup and Breakdown Policy

  • Each registered college or university will be furnished with one six-foot draped table and booth ID sign.
  • Banners or signs placed on exhibit tables must fit within this allotted space and may not impede sightlines of adjacent booths.
  • Exhibitors must prepare their tables before the opening of the CCF and remove their materials from the table immediately after the close of the CCF.
  • Tables will be available for set-up on Friday beginning at 2 p.m.
  • Table representatives must be at the in their booths, by 3:25 p.m. on Friday and are required to remain until the end of the first session.
  • Representatives that plan to participate in the Houston National College Fair on Sunday will have the opportunity to store their materials.
  • Exhibitors will use the hallway entrance to Hall B to get in and out of the space before the fair.
  • Exhibitors will gather leads via mobile app, similar to the one that you use during National College Fairs. There are no scanners at the Counselors' College Fair.

Table Displays and Guidelines

  • Fire marshal regulations restrict the number of booth personnel staffing each table to a maximum of three people–no exceptions. All booth personnel must be registered attendees of the 2022 Conference.
  • Arrive on time for the fair, and staff your booth during all fair hours.
  • Stay for the entire program – counselors are excited to see you! There will be no refunds for no-shows.
  • Dress to best represent your school and wear identification with either your name or institution name.
  • Recruitment and distribution of literature is restricted to the parameters of the booth.
  • Representatives must remain behind their booth or within its parameters when speaking to attendees.
  • Audiovisual equipment is not permitted. Laptops or tablet computers may be used but must be fully charged before the CCF. No electrical power is provided to CCF exhibitors.
  • Table displays cannot exceed 20” in height and may not impede sightlines of adjacent booths.
  • Keep the aisles clear of boxes and materials.
  • Booth tables must remain in direct alignment with all others in the assigned row. Tables may not be realigned to a different traffic pattern or impede intended traffic flow.
  • College representatives who exhibit at the CCF are expected to distribute only official printed materials (brochures, catalogs, etc.) regarding the educational programs or student life at their respective colleges or
  • universities so that the intent of the exhibit remains intact
  • Small promotional giveaways, including key chains, water bottles, stickers, pens/pencils, t-shirts, pennants, bags, and food/candy, are allowed! Prohibited items/activities include demonstrations (including those with live animals, food preparation, drawings/raffles, etc.), competitions of any kind or gifts that violate (or may be in violation) of the CEPP. (If you are not sure if an item is acceptable, email collegefairs@nacacnet.org or ask the NACAC representative onsite.) NACAC reserves the right to dismantle an exhibitors’ table for violation of this policy.

Shipping Information

Registered exhibitors will recieve an exhibitor kit from The Expo Group that includes shipping rates and information. This will be distributed by August.

Cancellation and Refund Policy

All changes and cancellations regarding the Counselors’ College Fair must be submitted in writing on institutional letterhead by email to NACAC Customer Service (customerservice@nacacnet.org) or by fax (703-373-2372). Cancellation requests will incur a $50 processing fee and can be sent to customerservice@nacacnet.org

The deadline to receive a full refund is July 13, minus a $50 processing fee.  Cancellations received between July 14 and September 1 will receive a 50% refund minus a $50 processing fee.  No refunds will be issued after September 1.

If the Counselors College Fair canceled by circumstances beyond the control of NACAC - such as acts of God, war, government regulations, disaster, civil disorder, or curtailment of transportation facilities - to the extent that such circumstances make it illegal or impossible to allow the program to occur, the registrant agrees that they will not hold NACAC liable for the cancellation and/or disruption of the program. If the fair  is canceled, the registrant agrees to hold NACAC and its agents blameless and to accept the credit policy agreed upon by the NACAC Board of Directors.
